Getting Started
Signing in, clearing the first-run hurdles, and understanding what shapes your view of the app.
Signing in
InspectAssets supports several sign-in methods; which you use depends on how your organization is configured.

| Email and password | The standard route. Enter your credentials on the login page. |
| Magic link | Passwordless. Request a link by email and click it to sign in — no password needed. |
| Single sign-on | If your organization uses Auth0 or Microsoft Entra, use the SSO option instead of a password. Your admin may also restrict sign-in to one email domain. |
First-run steps
Three things can stand between you and the app on first login. All are one-time.
- Verify your email. New accounts must confirm their address before most pages open up. Check your inbox and click the verification link.
- Change your password. If your account was created by an admin or had its password reset, you'll be required to set a new one. This blocks everything except your profile and session pages until done — it can't be skipped.
- Complete MFA, if enabled. You'll be sent a one-time code by email after entering your password. Codes expire after a few minutes; request a new one rather than reusing an old one, and note there's a limit on attempts and a short cooldown between resends.
Forgotten passwords
Use Forgot Password on the login screen. The reset link is time-limited, so use it promptly — an expired link needs a fresh request. If nothing arrives, check spam, then confirm with your tenant admin that the address on file is correct.
What determines what you see
Two things independently control your view, and it's worth knowing which is which when something seems missing:
- Your permissions — bundled into your role. You can reach a feature if your role includes any one of the permissions it requires. Your tenant admin controls these.
- Your organization's plan — some features (advanced insights, enterprise reporting, audit exports) are plan-gated regardless of your role.
This manual shows you the first of these directly: pages you can't access are marked 🔒 in the sidebar, and each page states whether your account has it.
Getting oriented
The left navigation groups features by module — Sites, Assets, Inspections, Compliance, Insights, Reports, and Administration if you're an admin. The top bar holds notifications and your profile. Platform admins additionally get an Act as tenant selector for choosing which customer organization they're working in.

Your first week, by role
- Inspector — check the Dashboard for assigned work, then read Inspections carefully, especially the offline section if you work in the field.
- Manager — review Inspection Management for team workload and the Approvals queue.
- Tenant admin — confirm Sites and Assets are set up, then Users & Roles so your team has correct access.
Everyone should set their preferences in Notifications & Profile early — it's the difference between useful alerts and noise.
Sessions time out
You'll be signed out automatically after a period of inactivity. An action that suddenly fails with an authentication error usually means exactly that — sign back in and retry.
